Version 1.0 | 1 October 2026
Your privacy
Trust and confidentiality are essential to my work as a coach. This notice explains how I handle personal information when you contact me or work with me.
1. What information do I collect?
I collect information needed to communicate with you, arrange and provide coaching, and manage our agreement. This may include your contact details, correspondence, invoices and information you choose to share about your personal or professional circumstances.
During or after coaching sessions, I may make brief handwritten notes, including keywords, questions, observations and diagrams. These help me reflect on our conversations and maintain continuity between sessions. I limit these notes to what is relevant to our coaching.
2. Why do I use your information?
I use personal information to respond to enquiries, prepare proposals, provide coaching, maintain continuity between sessions, arrange appointments, manage payments and meet legal obligations.
Depending on the purpose, the legal basis is taking steps towards or performing our agreement, complying with legal obligations, or pursuing legitimate professional interests, such as maintaining appropriate records and handling disputes.
Information that requires additional protection under data-protection law is handled subject to the applicable legal requirements.
3. Confidentiality and security
I treat information shared during coaching confidentially, in accordance with our Coaching Agreement.
I take appropriate measures to protect personal information against unauthorised access, loss and misuse. I do not disclose the content of coaching conversations to other people without permission, except where disclosure is legally required or otherwise justified under applicable law.
4. Digital services
I use digital services to communicate with clients, prepare documents and maintain professional records. These include Goodnotes for handwritten notes, Apple iCloud for synchronisation and document storage, Google Drive for backups, and Google Workspace for email.
These providers may process information as necessary to deliver their services, under their applicable contractual and privacy arrangements.
Some processing may take place outside the European Economic Area. Where applicable, international transfers must be covered by an appropriate legal mechanism and safeguards.
5. How long do I keep information?
I retain information for as long as it is necessary for the purposes for which it was collected or to meet applicable legal obligations.
Financial and tax records are generally kept for seven years under Dutch law.
Coaching records may be retained after our collaboration ends where needed for continuity, possible follow-up coaching or legitimate professional purposes. I review whether identifiable information remains necessary and delete or anonymise it when it is no longer justified.
Professional insights that no longer identify individual clients may be retained for future learning and development.
6. Your rights
Under applicable data-protection law, you may have rights to access, correct or request deletion of your personal information, restrict or object to processing, and receive certain information in a portable format.
Where processing is based on consent, you may withdraw that consent.
To ask a question or exercise your rights, please contact me at chris@chrisluth.eu.
You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or another competent supervisory authority.
I may update this notice if my practices or legal obligations change.
